Ministry driven; heavily interfaces with membership and coordinates volunteer schedules; high level of activity and people-facilitation. Plans, directs, organizes, and coordinates resources for activities, processes, projects, and/or events for department/ministry area. Must possess advanced people skills and solid database skills.

Coordinate and organize resources for all Children’s Ministry events, programs, and educational components which will nurture spiritual growth and equip children to be life-long followers of Jesus Christ. Provide administrative and support services for events and programs as they are planned, developed, and implemented. Provide strong organizational support to Children’s Ministry Staff. Provide exceptional communication to PCPC Staff, PCPC membership, and visitors. Support strategic work and perform tactical duties. Assist in providing a safe and godly environment for all the children in PCPC’s care. Perform all PCPC work to the glory of God. 


Purpose of Job

A.  Administrative (35%)

  • Purposefully engage in the life of the Children’s Ministry with a keen sense of calling.
  • Assist the Director of Children’s Ministry (DCM) in planning, overseeing, and/or coordinating activities/events upon request.
  • Skillfully respond to and/or manage routine requests, issues, and/or complaints from Children Ministry staff, PCPC employees, members, and/or others. Keep DCM well informed.
  • Provide proactive administrative assistance to the DCM and exhibit a high degree of independence and accountability for results.
  • Coordinate and manage the flow of information, requests, resources, and activities under the direction of the DCM (includes working with support ministries such as Database, IT, Communications, and Facilities).
  • Prioritize, manage, and filter a large volume of information; handle/process details accordingly.
  • Maintain and update data for Children’s Ministry in Arena as needed (includes attendance, contact information, updating rosters, and other vital information).
  • Generate Arena and/or Excel statistics/reports required to support Children’s Ministry goals and objectives (attendance, class rosters, recruitment, etc.).
  • Perform administrative support duties including typing, copying, filing, scanning, scheduling meetings, reserving rooms, and scheduling appointments.
  • Assist in providing feedback and solutions to Children’s Ministry on ministry tasks, initiatives, or support issues.

B.   Coordination: Sunday Morning Programs (35%)

  • Manage and prioritize clerical and administrative work generated by Sunday mornings.
  • Confirm details, tasks, and/or special Sunday morning set-ups with Ministry Leaders.
  • Maintain and update volunteer lists, including attendance and class changes. 
  • Coordinate visitor process for enrollment and placement after each Sunday.
  • Create rosters and attendance lists, post before each class for Sundays and/or events, file afterwards.
  • Process Criminal Background Check (CBC) forms for new ministry volunteers and for ongoing volunteers in the Preschool and Elementary ministry areas.
  • Communicate with volunteers regarding necessary paperwork renewal. Ensure all new and returning volunteers have required paperwork on file (i.e., CBC’s, Code of Ethics, Ministry Safe, etc.)
  • Help ensure that policies are enforced while keeping the importance of our services to the members in mind (i.e., pick-up receipts, CBC reminders to staff, etc.)
  • Be available four to six Sunday mornings a year to fill in for the ministry leaders at the request of the DCM.
  • Help plan and assist with Promotion Sunday. Prepare class rosters. Confirm room assignments.
  • Help plan and assist with annual teacher training events. Create volunteer lists. Design and mail event invitations and reminders, secure EMS reservations, decorate, and set-up for event. Keep attendance and follow-up with volunteers who are absent from training.
  • Zest Quest – Print, copy, and fold ZQ prior to Sunday morning services.

C.  Coordination: Special Events and Programs (15%)

  • Help plan events. Help staff think through details and processes for having an event at PCPC.
  • Provide support, oversight, and/or coverage for special events as requested by DCM, which may be outside of normal working hours (i.e., Promotion Sunday, teacher training events on Saturday mornings, church-wide conferences, and other special events during the year)
  • Be available, at the request of the DCM, for special events and programs to help execute planned events or programs.
  • Communicate to volunteers and membership details of the event. Follow up with individuals if cancellations, questions, or comments have been expressed.
  • Provide support for VBS as needed and under the direction of the DCM (includes location or allocation of resources or admin assistance as needed).

D.  Coordination: Classroom Preparation (15%)

  • Coordinate with ministry leaders on organizing, inventorying, and maintaining supplies for Sunday morning classes, weekly lessons, and/or craft activities.
  • Coordinate with ministry leaders on organizing classrooms before and after each Sunday to maximize an effective, efficient, and presentable learning environment for children and volunteers.
  • Coordinate flow of resources (supplies, snacks, and paper products) with planned activities each week.

Education and Experienced Required

College degree preferred. Two to five years of experience working in Children’s Ministry or in a non-profit organization or equivalent. Must love children. Able to maintain a big picture perspective while attending to small details, including proper grammar, punctuation, and knowledge of letter and document forms. Proficient in Microsoft Office. Experience with Shelby/Arena database a plus, but not required. Willingness to learn Shelby/Arena, Adobe, and other programs and/or proficiencies as needed. Must be available for training and development. PCPC Membership is not required.

Work Environment

·  Normal office and church environment.

·  Standard office hours (8:00 am – 5:00 pm with one-hour lunch) Monday - Friday on a regular basis; however, the schedule will include working sporadic Sunday mornings (forecasted to be about four to six times a year) and/or requests to assist with special events after normal working hours (VBS Thursday night, quarterly Family events, etc.).

·  Work that requires mobility between a large number of Children’s Ministry classrooms and storage areas, which includes standing, walking, carrying, and stooping.

·  Highly relational and people intensive.

·  High volume work load that requires the ability to forecast needs of the Children’s Ministry team based on the ministry calendar.

·  Must be able to prioritize responsibilities and multi-task.
